About This Position
ABOUT THE ROLE
The NYC Department of Transportation's Division of Facilities Management is seeking a dual-capacity leadership role combining strategic planning and operational execution. Reporting directly to the Assistant Commissioner for Facilities Management, the selected candidate serves as a trusted advisor, partnering with Division leadership to coordinate operational priorities, facilitate project delivery, and strengthen collaboration across internal teams and external agency partners.
KEY RESPONSIBILITIES
- Serve as a strategic advisor and thought partner to the Assistant Commissioner by managing day-to-day division operations, establishing priorities, and coordinating activities
- Lead the planning, coordination, and execution of division-wide initiatives and special projects to ensure alignment with agency goals
- Develop executive-level briefing materials, reports, presentations, correspondence, and memoranda for senior leadership
- Oversee organizational planning efforts, including workforce planning, staffing strategies, performance metrics, SOPs, and continuous process improvement
- Coordinate with procurement, contract management, and real estate teams to facilitate successful planning and delivery of facilities projects
- Manage cross-functional collaboration among internal divisions, executive leadership, and external agency partners
- Prepare agendas, meeting materials, and follow-up actions for executive meetings, tracking key decisions and action items
- Monitor progress on critical initiatives, identify risks or obstacles, and recommend solutions to maintain schedules and objectives
- Support recruitment efforts by partnering with hiring managers throughout candidate selection, onboarding, and integration
- Foster employee engagement by supporting professional development, succession planning, and career advancement opportunities
- Lead the implementation, administration, and continuous improvement of IT systems that support Facilities Management operations
MINIMUM QUALIFICATIONS
- A master's degree from an accredited college in a related field and two years of satisfactory full-time professional experience in relevant areas, with 18 months in an executive, managerial, administrative, or supervisory capacity; OR
- A baccalaureate degree from an accredited college and four years of professional experience in the areas described above, including 18 months of executive, managerial, administrative, or supervisory experience.
SPECIAL REQUIREMENTS
- Candidate must be serving permanently in the title of Administrative Staff Analyst, or be reachable on the Administrative Staff Analyst Civil Service List.
- This position is also open to qualified persons with a disability who are eligible for the 55-a Program.
- New York City residency is generally required within 90 days of appointment (exceptions may apply for eligible continuous City employees).
